We often pitch “Increased Productivity Solutions” to our clients.  Invest a few dollars here and save a lot of time there.  Faster systems, easier access, reduced redundancies, simplified tasks, etc.   While every office has its own unique set of challenges, there is 1 solution that will work on virtually every business.

Dual Monitors

Dual monitors have been proven to increase productivity by 20-30 percent, according a Jon Peddie Research survey.

So how does this second monitor help to increase productivity by 20-30 percent, by decreasing the amount of clicks it takes to complete your tasks.

Imagine you’re drafting your weekly reports.

  • First, you open your report template and locate whichever field needs the data entry.
  • Next, you minimize that template and open all of the related documents that have the data you need to review
  • After you locate the data from these documents, you minimize them, maximize the template and enter the data
  • You switch back to the first document, double check that you information is correct and then go back the template.
  • You repeat this process over and over again until your report has been compiled.

Even if you only have three documents with the data you need to compile into your report, you’re switching between documents at least 13 times (and that’s if you only need to pull one number from each document). With a second monitor, you can pull up the report template on one screen and then all of the source documents on the second screen.

On average, if you needed to pull just five numbers from a source document and enter it into a template you would switch between these files at least 40 times.  If you had 2 monitors you could remove all of that wasted time and have the source and destination file for instant comparison

There is no real argument that a 2nd monitor can save clicks, it’s just how many clicks and what do those saved click really amount to?

It takes about 1.5 seconds to move your mouse and click to switch between documents. After double clicking, the average delay time for the next document to open is 0.5 seconds, totaling around 2 seconds a click.  Even if that report was simple and required just five numbers entered that second monitor would save you roughly 1 minute.  Over the course of a year, a second monitor would save you about an hour on this one task alone.

While saving 1 hour a year doesn’t sound like that much, how much time would a second monitor save you if you used it for all of your tasks? According to the University of Utah, a second monitor can save each employee 2.5 hours each day if they use it for all of their tasks (email, data entry, multi-tasking, file comparisons, etc.). If you have 30 employees, a second monitor could save you 75 hours a day, 375 hours a week, 1650 hours a month, and 18,825 hours a year. Even if you’re paying those 30 employees at minimum wage of $8.25, you’re saving $155,306.25 a year.

When you could save $155,306.25 a year by spending a couple hundred dollars on a second computer monitor for each employee, why wouldn’t you?

Most of our clients use a 2nd monitor (if not a 3rd) but for those who haven’t, investing in a second monitor is a no brainer.  Increase an employee’s productivity by as much as 30% at an investment of a couple hundred dollars, that my friends is business technology 101.
